If you have administered employment policy across more than one US state — different leave laws, different pay-transparency rules, different final-paycheque timing — say “multi-state” and list the states. If a number genuinely does not exist for a piece of work, use scope instead of inventing one: population supported, number of locations, size of the benefits spend you administered, number of managers you coached. Scope is verifiable at reference-check time; a fabricated percentage is not.

Depth helps a resume; volume does not. These are the items that reliably take space away from something better.

  • Confidential specifics. Never name an employee, a settlement figure, a termination, or an active dispute. Write “led 31 investigations”, not the story of one. Hiring managers read discretion as a core competency for this role and identifying details read as its absence.
  • “Excellent communication skills” and its relatives. Unverifiable soft-skill claims fill a Skills section without adding a searchable term. Replace each with something a recruiter can filter on — a statute, a platform, a metric.
  • A skills list of tools you have only seen demoed. HR interviews go straight to the system: which modules, who configured them, what broke at renewal. Listing Workday when you only pulled reports from it collapses in the first ten minutes.
  • Generic duty lists lifted from a job description. “Responsible for the full employee lifecycle” describes the title, not you. If a sentence would be true of every HR manager alive, it is buying you nothing.
  • Photographs, dates of birth, marital status and headshots on US applications. An HR manager of all people is expected to know why employers strip these; including them signals unfamiliarity with the discrimination exposure.
  • Tables, text boxes, multi-column layouts, and skills in headers or footers. Parsers commonly drop or scramble these, and it is your keywords that vanish. Single column, standard headings, keywords in the body text.
  • Every job you have ever held. Fifteen years of detail is enough for most manager applications; older roles can compress to one line each. Space spent on a 2006 coordinator role is space not spent on your last two.
