Legal hiring is unusually tool-specific. A posting that names Relativity is not asking whether you understand “e-discovery” as a concept — it is asking whether an attorney can hand you a review workspace in your second week. Recruiters search the product name, not the category, so “document review software” never surfaces when someone types “Everlaw”. Name the products you have genuinely driven.

Keywords by practice area and seniority

“Paralegal” is one title covering a dozen different jobs. A probate paralegal and an H-1B paralegal share a title and almost none of their daily vocabulary — and the screening filter is built from the vocabulary. In our study of 3,910 real job postings, two postings advertising the same job title at different companies shared a median of only 25% of their named requirements, against 11.1% for postings with different titles. Same title, three quarters of the specifics still change. Work out which job the posting describes, then lead with that row.

If you cannot count outcomes, count volume: paralegals rarely control the settlement figure, so few can honestly claim a revenue result. You can usually count matters, filings, transcripts, pages, jurisdictions or reviewers trained. Those are checkable, and they are yours.

Certifications worth naming — and what they are worth

Certification language falls into three buckets: required, preferred, and invisible. National credentials are worth listing when you hold them, though the phrase postings more often use is “paralegal certificate or equivalent experience”. State designations behave differently: where the title is defined by statute or a bar programme, they decide the screen locally and mean little elsewhere.

Write in-progress credentials honestly: “NALA CP — exam scheduled November 2026” reads as credible. Listing an unearned credential as held loses offers at reference stage, and legal employers verify.

What to leave off a paralegal resume

Most resume advice only adds. In legal hiring several of the larger wins come from removing, because a hiring attorney reads for risk as much as for skill.

  • Client names and matter captions. Describe the work, not the file: “a multi-party construction defect matter”, never the caption. A resume that leaks one client name says how you would treat theirs.
  • Verbs that read as practising law. “Advised the client”, “represented” and “negotiated the settlement” raise an unauthorised-practice flag with the person most likely to hire you. Use prepared, drafted for attorney review, coordinated, or communicated status under attorney supervision.
  • An ambiguous JD. If you hold a law degree without an active licence, write “JD, 2021 (not admitted)”. Unexplained, it is read as a flight risk rather than a bonus.
  • Skill bars, star ratings and percentages. Parsers turn “Westlaw ●●●○○” into noise, and a self-assigned 80% invites a question you cannot win.
  • Microsoft Word and email as headline skills. Assumed. Trade the line for a document management or e-filing platform that is actually screened for.
  • The full course list from your certificate programme. One line for the programme; let the experience section carry the terms.
  • Photo, date of birth, marital status and street address. City and state are enough, and the rest creates screening problems rather than solving them.
  • The wall of soft skills. Attention to detail belongs on the page once as a term, but it persuades nobody in a list. It lands attached to a number — eighteen months with no rejected filing is attention to detail.

How to Place Keywords So the ATS Reads Them

  • Mirror the exact wording from the job posting (both the acronym and the spelled-out term, e.g. “CRM (Salesforce)”).
  • Put your strongest keywords in your summary and your two most recent roles — ATS weights recent experience.
  • Add a dedicated Skills section, but also weave keywords into your bullet points so they read naturally.
  • Use standard section headings (“Work Experience”, “Skills”) and avoid tables, text boxes, or headers/footers that ATS parsers drop.
  • Never keyword-stuff or use white text — modern parsers and recruiters both catch it.
